Spreadsheet Escape Plan

Spreadsheet Replacement Checklist

Check whether the spreadsheet is ready to become a better system, and what needs to be clarified before you choose software.

Source of truth

Work out whether the spreadsheet is just a tool, or whether it has quietly become the business system.

The job of the spreadsheet is clear

You can explain what the spreadsheet controls, tracks, decides, or reports.

There is a clear owner

One person or role is accountable for the data, rules, and changes.

People know which copy is current

There are not multiple competing workbook versions or hidden local copies.

Workflow

Separate the data from the process that moves around it.

The workflow steps are mapped

You know what happens before, during, and after the spreadsheet is updated.

Handoffs are known

You know who sends information, who receives it, and what happens when something is missing.

Common exceptions are defined

You know the edge cases that break the normal process.

Data quality

Check whether the underlying data is ready for a better system.

Required fields are known

You know which fields are essential and which are optional or legacy clutter.

Duplicates and errors are understood

You know where duplicate rows, stale records, or inconsistent naming appear.

Reporting needs are clear

You know what dashboards, exports, or summaries the replacement must support.

Access and risk

A replacement system should make access safer, not just shinier.

Roles and permissions are clear

You know who should view, edit, approve, export, or administer the data.

Change tracking requirements are known

You know whether approvals, history, or audit logs matter.

Privacy and security risks are identified

You know whether the spreadsheet holds client, staff, financial, or sensitive operational data.

Replacement path

Decide whether the next move is cleanup, automation, an existing product, or custom software.

The first useful version is defined

You can name the smallest replacement that would remove real pain.

Existing tools have been reviewed

You have checked whether a current CRM, project tool, database, or industry product can solve it.

Integration needs are known

You know what the replacement must connect to, such as Xero, forms, email, portals, or reporting.
